Promotional Activities

Brown Athletics, per NCAA Bylaw, is required to submit written approval for all student-athletes participating in any charitable or non-profit activities considered incidental to participation in intercollegiate athletics. Prior to participating in any promotional activities, student-athletes must sign the Student-Athlete Promotional Activity Waiver Form (PDF). Bylaw states that a member institu­tion or recognized entity thereof (e.g., fraternity, sorority or student government organization), a member conference or a non-institutional charitable, educational or nonprofit agency may use a student-athlete’s name, picture or appearance to support its charitable or educational activities or to support activities considered incidental to the student-athlete’s participation in intercollegiate athletics, provided the conditions laid out in the Bylaw are met.

Here are some things to keep in mind about promotional activities:


  • Appear to speak at an event for a noninstitutional charitable, educational, or nonprofit organization, or an organization affiliated with Brown University, the Ivy League, or NCAA, provided that the appearance has been approved in advance by Compliance
  • The event may NOT be co‐sponsored, advertised, or promoted by a commercial entity (e.g. Adidas, Whole Foods, Coca-Cola)
  • Accept travel, lodging, meal, and other appearance‐related expenses from the organization provided that you do not accept anything in excess of your actual expenses for the appearance
  • Permit the organization to use your name and picture to promote your appearance ONLY if the Brown Compliance Office has approved the use in advance and your name or picture does not promote any commercial ventures of the organization. For example it is impermissible for a charity toy drive to advertise your appearance if that event is also co‐sponsored and promoted by “Toys R Us”
  • Help raise money in conjunction with your appearance provided all proceeds go directly to the organization
  • Sign autographs in conjunction with your appearance at the event. Compliance must approve in advance before the organization may sell/auction any items with your signature


  • Appear for any charitable, educational, or nonprofit organization without approval by the Compliance Office. Please notify our office at least seven (7) days in advance of the event
  • Miss any classes in conjunction with an appearance
  • Endorse any commercial product or have the organization use your name and/or image to promote a commercial product
  • Allow the organization to sell any commercial item with your name, likeness, or picture associated with it (e.g. t‐shirts, hats)
  • Accept anything of value in excess of your actual and necessary expenses (e.g. travel, lodging, meals that are directly associated with attending the event
  • Speak to groups with prospect-aged individuals (grades 9-12) and try to recruit them to enroll at Brown University (even if you speak at the high school you attended)
